The service

Accounts and organizations

  • Each workspace is a separate tenant. Records, fields, and analytics in one workspace are not visible to another.
  • Workspace owners control who is invited, what role each member holds, and what each role can see or change. You are responsible for keeping those assignments correct as people join and leave.
  • You are responsible for activity under your users' credentials. Tell us promptly at the address below if you suspect an account has been compromised.
  • Credentials are per person. Sharing one login across a team defeats the audit trail and is not permitted.

Subscription plans and billing

  • Trials are free and require no card. At the end of a trial, the workspace is read-limited until a subscription starts. Trial data is retained through the deletion window described in the Privacy Policy.
  • Subscriptions renew automatically for the term you selected until cancelled. Payment is processed by Stripe; Refidly does not store card numbers.
  • Fees are charged per the plan and seat count in effect at renewal. Adding seats mid-term is prorated. Fees are exclusive of taxes.
  • Cancel at any time from billing settings. Cancellation stops the next renewal; it does not refund the current term unless the law requires otherwise.
  • We may change pricing with at least 30 days' notice before a renewal. Continuing past the renewal date accepts the new price.
  • A failed payment may suspend access after notice. Suspension does not delete your data.

Acceptable use

  • Upload data you lack the legal right or patient authorization to process, or use the service in a way that violates HIPAA, state privacy law, or professional obligations.
  • Send unsolicited bulk email, misrepresent the sender, or use outreach features in violation of CAN-SPAM or applicable anti-spam law.
  • Offer, solicit, pay, or receive anything of value in exchange for a patient referral in violation of the federal Anti-Kickback Statute, the Stark Law, or state equivalents. Refidly tracks referral relationships; it does not sanction paying for them.
  • Reverse engineer, resell, sublicense, or provide the service to a third party as a standalone offering.
  • Probe, scan, or load-test the service without written permission, circumvent role or organization scoping, or attempt to reach another tenant's data.
  • Upload malware, or use the service to store data unrelated to your referral operation.
